Terms Related to Identity Checks and Biometric Verification
Introduction
Welfare Scotland (“we”, “us”, or “our”) is committed to protecting the privacy and security of our clients’ personal information. This policy provides details on how we collect, store, use, and delete documentation resulting from ID and biometric data checks in compliance with applicable data protection laws within the United Kingdom.
References to ‘Yoti’ relate to Yoti Ltd of 6th Floor, 107 Leadenhall St, London, EC3A 4AF and more information can be obtained at https://www.yoti.com. Yoti process your data on behalf of Welfare Scotland and any concerns relating to the collection, processing, storage and deletion of this information should be directed to Welfare Scotland and not Yoti. ‘Yoti’ and the Yoti logo is the intellectual property of Yoti Ltd.
Purpose of Collection and Use
We collect personal identification and biometric data (“ID data”) from our clients to verify their identity, to ensure we are not party to any fraudulent activity and to ensure we have confidence in the veracity of the assertions and representations we make on behalf of clients.
We may also require to check the identity of those who make large donations to Welfare Scotland. These checks may include checks to ensure the person making the donation is not subject to international sanctions.
This ID data may include (but is not limited to):
- Your full name and address
- Your date of birth
- Your email address
- Your telephone number
- A scan of your passport or driving licence which will be checked with the issuer for signs of alternation or tampering and to provide assurance that the document is valid and has been issued to the person photographed
- A selfie which will include checks to ensure the image is not altered, inauthentic and to ensure the person photographed is not wearing a mask or materially altered using a filter.
The determination of which ID data is required and which checks are conducted will be case dependent. We will seek to verify your identity using the least amount of data possible and will not ask for information we do not need. Many of these checks are conducted quickly and seamlessly by our technology provider, Yoti. Where an ID document has been damaged by water, rain, heat etc the check may fail. If this occurs, we may require to complete an alternative check. If this is relevant to your case, we will provide you with additional information at the time and we will talk you through the process.
The collection of this ID data is limited to what is strictly necessary to prevent fraud, identify clients, fulfil our service obligations and to comply with legal requirements.
Use of Information
The ID and biometric information we collect is used to verify the identity of our clients as part of our security measures. We do not use any of this ID data for any other purpose.
Storage of Information
The ID data you provide is stored securely in our systems and those of our technology provider Yoti with access restricted to authorised personnel only. We implement robust security measures to protect against unauthorised access, alteration, disclosure, or destruction of your data. The technology provider Yoti stores the information you provide within the EU and makes this available to us using secure means. Yoti is Welfare Scotland’s chosen ID verification technology provider and they process data on our behalf. Legal duties to you are owed by Welfare Scotland and not by any technology provider we contract with.
Data Retention
We retain ID data for a period of up to three (3) months to ensure we can prevent fraud, identify clients, fulfil our service obligations and to comply with legal requirements.
Deletion of Information
At the expiration of the three-month retention period, or earlier if requested by the client and where not prohibited by law, we will securely delete all collected ID data from our systems. This includes any copies or backups of the data and the same held for us by our technology provider Yoti.
Your Rights
You have the right to view, access, correct, or delete your personal data held by us. If you wish to exercise any of these rights, please contact us at idchecks@welfare.scot.
Changes to This Policy
We may update this policy from time to time. We will notify you of any changes by posting the new privacy policy on this page.
